Vacancy: ATGENDER Office Manager 2025
ATGENDER: European Association for Gender Research, Education and Documentation is looking for an office manager based in the Netherlands for 8 hours per week, starting on January 5th 2025. ATGENDER is a membership-based network of scholars, researchers, practitioners and activists in the field of gender studies. More information can be found on our website: www.atgender.eu
TASKS
- External communication: Monitoring general office email account, replying to or redirecting requests to relevant board members, and support the communication working group for the preparation and distribution of ATGENDER newsletters
- Internal communication: Coordinate monthly board meetings with all board members and support internal communication processes
- Financial administration: Issue and keep track of invoices and receipts for institutional and individual members of ATGENDER and event participants and support treasurer(s) with the preparation an annual budget and track expenditures
- Data maintenance: Update ATGENDER membership database and mailing list and Support the maintenance of internal storage system
- Events and conference organizing: Support event and conference organisation, including monitoring registration process, coordinating online platforms or in-person logistics and issuing certificates of attendance
- Co-supervise interns
- Check out periodically ATGENDER postbox in Utrecht (Netherlands)
REQUIREMENTS
Essential
- Address registration in the Netherlands
- Minimum of six months of experience in office management or equivalent administrative experience including:
- Organize meetings and take minutes
- Managing email inbox
- Online records management
- Following office practices and procedures
- Research and report preparation principles
- Attention to details and ability to organize and prioritize work to meet deadlines
- Strong verbal and written communication skills in a professional context
- An excellent command of English (spoken and written)
Desirable
- MA student or graduate in the field of Gender, Women’s or Feminist Studies (or related disciplines)
- Familiarity with principles of administrative analysis, budgetary and financial records
- Basic knowledge of Dutch
